Sydney, Australia, Job Title Facility Manager Job Description Summary The Facilities Manager delivers facilities management services to meets the needs of Property and Development NSW and the Client Agencies. The portfolio of assets under management comprises commercial, retail, industrial, development and special use assets across NSW, both owned and leasehold. The Facilities Manager is responsible for managing the facilities of a number of the assets within the portfolio. Key accountabilities comprise: 1. Ensure maintenance is effectively completed to comply with statutory and regulatory obligations, and in line with contract SLA’s and KPI’s 2. Manage expenditure within budget, designated cost categories and approved delegations 3. Provide management and supervision of all works in line with contract scope of services 4. Effectively manage and coordinate works delivered through contractors/subcontractors or WoG suppliers Job Description 1.5. Job Purpose The purpose of the Facilities Manager role is to manage a portfolio of assets across the PDNSW portfolio, ensuring a consistent standard and best practice approach in the delivery of Facilities Management services. This role will manage client relationship obligations and act as an escalation point where required. The Facilities Manager is expected to foresee and take proactive management of issues to mitigate and escalate any potential risks. This role will contribute to the consistent and best practice approach to account delivery across the client portfolio, following contractual obligations and C&W policies. 1.6. Accountabilities Key Result Area Major Activities Facilities Management Manage site operations, including scheduled and ad-hoc works, to ensure continuity of property services with minimum disruption to client business operations Manage and control budget and cost expenditure to contractual requirements for facilities management operations, for both preventative and reactive maintenance works at nominated sites Monitor and implement asset management and ensure all preventative maintenance services are captured and delivered in accordance with environmental and safety guidelines / legislative requirements and site asset requirements Manage reactive maintenance via the Help Desk function and analyse data to ensure attendance and rectification times are met to ensure contractual compliance Management of escalations via the Help Desk (CXC), Client Agency representatives and stakeholders. Review and approve quotes within delegated authority procedures Review and approve supplier invoices via the Converga and client Opex claim process. Conduct property condition audits as per contract requirements Conduct / support subcontractor procurement in line with client and Cushman & Wakefield policies. Manage the ongoing performance of contractors Identify and support implementation of cost saves, innovation, and best practice Ensure that safety measures and systems are implemented in accordance with relevant legislation, policy, compliance, and customer safety requirements. Identify hazards and conduct risk assessments for the tasks associated with the works Maintain protocols for operations including communication, processes, procedures, and systems within the account team Continual focus on innovation, constantly striving to improve delivery of services. This will include actively obtaining feedback from stakeholders and responding to the same, bringing in industry knowledge, innovation Proactively conducts regular stakeholder meetings to drive engagement, collaboration, and continual improvement through shared learnings With a focus on client experience, effectively manage all client, landlord and supplier partner relationships Client Engagement Ensure face to face meetings are conducted with clients and nominated stakeholders as required Ensure key contractual deliverables are met including but not limited to annual plans/reports, business reviews and service delivery optimisations Contribute to the delivery of monthly reports with analytics and insightful commentary and aligned with contractual obligations Asset Management Ensure the implementation of scheduled routine tasks and preventative maintenance activities Provide input into the Engineering & Asset Management team regarding scheduled routine tasks and preventative maintenance activities to ensure equipment and routine services are delivered in line with compliance obligations and client site requirements Ensure newly installed equipment is appropriately flagged and managed under Defect Liability Periods Ensure statutory maintenance compliance categories are utilised effectively by site Review statutory asset data analysis and provide client specific insight into anomalies. Provide updates to the asset register Health & Safety Provides input and seeks support from HSSE when reviewing and approving relevant vendor partner submitted HSSE documentation including but not limited to Pre-Start Risk Assessments, Safe Work Method Statement and Permits Provide content for site specific induction and Essential Site Information Provides input and seeks support from HSSE when issuing impairment notices to insurers and subsequent management of process Sustainability Provides input and seeks support from the sustainability team when reviewing environmental usage reporting to identify potential cost savings or provide feedback on anomalies Provides input and seeks support from the sustainability team to drive opportunities to implement sustainable practices and build case studies Provides support and information enabling reporting and ratings of the portfolio Financial Management & Reporting Manages the budget and financial performance of the portfolio Provides input into annual FM budget preparation and quarterly forecasts Responsible for variance commentary for maintenance spend Review of role specific dashboard report to drive maintenance strategy and inform potential performance issues (vendor, assets, etc.) Provides input into client reporting relevant to the portfolio Undertakes critical incident reporting relevant to the portfolio General Responsibilities Articulate and live the Cushman & Wakefield culture, model organisational values and required behaviour and hold others (employees and peers) accountable for their actions by identifying and acting on behaviour which is inconsistent with agreed standards Comply with all Cushman & Wakefield systems that are in place to meet the health and safety obligations of the organisation Work safely and avoid placing yourself or anyone else’s health and safety at risk by your acts or omissions Comply with Cushman & Wakefield Environmental policies and adhere to procedures and work instructions that are relevant to your activities Actively participate within community or practice groups within the IFM business by sharing information and strategies that result in the best outcomes for the client and Cushman & Wakefield Understand the Cushman & Wakefield brand and expertise of services delivered to ensure all opportunities to provide a full-service offer to clients and staff is available Regularly engage with the Cushman & Wakefield GOS & IFM teams to leverage their knowledge As an equal opportunity employer, Cushman & Wakefield encourages Aboriginal and Torres Strait Islander and female candidates to apply.
